The WissensAgent by datadice

SPIRA: the company AI that also knows your ERP

SPIRA is the WissensAgent by datadice, a company AI that answers questions from email, calendar, file storage, ERP and business systems. Every answer names document, page and section. Each person only finds what they are allowed to see.

Copilot and Gemini mainly know the office world; SPIRA also connects ERP, file servers and business systems. Setup costs a fixed price. After that you pay by usage, with no per-user licence.

    What is the WissensAgent SPIRA?

SPIRA connects your company's data into one company AI. It reads emails, file storage and business systems and answers questions with sources. With our knowledge management we add the experience of your employees.

In mid-sized companies, knowledge is spread out: in the inbox, on the file server, in the ERP and in business applications. Copilot and Gemini mainly reach the office world. SPIRA connects all sources. Your employees get complete answers.

    The name

    What does SPIRA mean?

    spiraLatincoil, spiralAcronymSovereignPlatform forIntelligence,Retrieval &Agents

In a spiral, one turn wraps around the next. All turns circle the same core.

That is how SPIRA grows in your company. Email and files form the core. Every module adds another turn: ERP, CRM, data warehouse, transcription and file servers. With every turn, SPIRA knows more about your company.

WissensAgent describes the task. SPIRA describes the structure.

    Copilot, Gemini and SPIRA

What can SPIRA do that Copilot and Gemini cannot?

It connects the systems of mid-sized companies that are missing at Microsoft and Google or only reachable through partners. All three handle email, calendar, chat and files.

    Access rights

What happens to old sharing settings that are far too open?

datadice cleans them up before the start. Every company AI shows a person everything they are allowed to see. That includes the folder someone shared with everyone years ago.

    1. 1We find folders and files with overly broad sharing.
    2. 2Together we define who may see what.
    3. 3SPIRA checks these rights with every search.

    AI used wisely

Is Copilot worth it for all employees?

For the few who work intensively with AI in Word, Excel, Outlook and Teams every day, the fixed licence pays off. For everyone else, datadice bills SPIRA by usage.

    Microsoft Copilot

fixed licence per person and month

For employees who work intensively with AI in Word, Excel, Outlook and Teams every day. That is where the fixed licence pays off.

    SPIRA

    by usage

Secure AI for every employee, billed by what was actually used each month.

    • Full cost control: monthly usage shown transparently
    • User limits per person or team
    • Tailored to your processes and your company knowledge
    • Approved sources, managed access rights, sources for every answer

    What you get

    Connected to all your systems

We connect email and files, your business systems and the experience of your employees. The search understands the meaning of a question and finds exact terms. So SPIRA also finds technical terms and article numbers.

    No permission, no result

Sign-in with your Microsoft or Google account. What a person may not see, SPIRA does not find for them, because permissions apply during the search, not only when the answer is written.

    Traceable answers

Every answer names the document, page and section it comes from. Your team reviews answer quality against real questions from everyday work.

    Your own instance

Every company gets its own isolated instance. Your use case decides which model and which hosting location fit; we disclose dependencies and options to switch.

    In practice

How does IHK zu Coburg work with a company AI?

For IHK zu Coburg, datadice built a knowledge platform on Microsoft 365.

Employees sign in with their existing account. The platform accesses SharePoint, Outlook, calendar and Teams live. The AI models run in data centres in the EU, with no data stored at the provider. Setup to acceptance took one month.

    How datadice builds SPIRA

    1. 1

      Define tasks and sources

Together we define tasks, sources, systems and criteria for answer quality.

    2. 2

      Check sharing

We check your sharing and define with you who may see what.

    3. 3

      Connect systems

We start with Microsoft 365 or Google Workspace. Then we connect ERP, file servers and business systems via their interfaces. Tests with real questions secure the quality.

    4. 4

      Introduce and operate

The Academy supports your team in using it. We take on operation, maintenance and further development to the agreed extent.

    Frequently asked questions

Can't Copilot or Gemini do this already?

Copilot and Gemini mainly know email, calendar, chat and files. For SAP ERP and DATEV, Microsoft only offers partner connectors. proAlpha, abas and Sage are missing from Microsoft's connector list (as of October 2026). SPIRA connects exactly these systems.

    Which systems does SPIRA connect?

The base is Microsoft 365 or Google Workspace. You add modules: ERP and business systems, CRM, data warehouse, transcription via app, documents and file servers. Every module is optional. Which modules you need first, we clarify in the initial consultation.

Is there an alternative to Microsoft Copilot without a licence per user?

Yes. We set up SPIRA by datadice at a fixed price and then bill by usage, without per-seat licences. Many companies combine both: Copilot for individual power users, SPIRA for all other employees.

We already have Copilot. Why SPIRA?

Copilot pays off for power users who work intensively with Microsoft 365 every day. SPIRA also knows your ERP, your file servers and your business systems. It runs independently of Copilot and needs no Copilot licence. We first check which tasks Copilot already covers.

What happens to old sharing in SharePoint or Google Drive?

Every company AI finds everything a person may see, including overly broadly shared folders. That is why we check your sharing before the start and clean it up with you.

What does Microsoft Copilot cost per user?

According to Microsoft's pricing page (as of 12 Oct 2026), Microsoft 365 Copilot costs €21.84 per user and month in the Business plan when paid monthly and €18.20 when paid annually; Enterprise is €26.00 according to Microsoft partners. All prices net and in addition to the Microsoft 365 base licence. SPIRA has no per-user licence. We set it up at a fixed price and then bill by usage.

Is SPIRA a GDPR-compliant Copilot alternative?

SPIRA is designed for GDPR requirements: its own isolated instance per company, processing in the EU or in your own data centre, permission checks on every search and a data processing agreement. Reviewing your specific use is part of the rollout.

Is SPIRA a ChatGPT for companies?

For your employees it works much like chatting with an AI, but it works with your company knowledge: documents, emails, meetings and business systems, always within the permissions of the person asking and with a source for every answer.

Is SPIRA also available for Google Workspace instead of Microsoft 365?

Yes. SPIRA works with Microsoft 365 or with Google Workspace, i.e. Gmail, Google Calendar, Google Chat, Google Drive and shared drives. That also makes it an alternative to per-user Gemini licences.

Can company AI work with our own data without everyone seeing everything?

Yes. SPIRA accesses your documents, business systems and experience, and checks the permissions of the person asking during the search itself. Every answer names the document, page and section.

    Does SPIRA also run on-premises?

Yes, as SPIRA PLUS: the AI then runs hybrid or entirely in your data centre, and further on-premises storage such as file servers can be connected.

    What is SPIRA?

SPIRA is the WissensAgent by datadice, an internal AI assistant for your company. It makes your company's knowledge from documents, business systems and your employees' experience accessible, with managed access rights and source references for every answer.

    What is SPIRA PLUS?

SPIRA PLUS is the second stage of SPIRA. It connects ERP, CRM, DATEV, document management, file servers and business systems. Depending on your requirements, the AI runs in the cloud, hybrid or entirely in your data centre. We prepare the offer after the initial consultation.

We already have an AI search for our documents.

That is a good starting point. A document search, however, only opens up knowledge that has already been written down. SPIRA also captures your employees' experience and connects it with existing sources. Functional reviews and clear responsibilities for maintenance secure the quality.

How do I keep costs under control?

You only pay for what was actually used each month. Usage is shown per month, and user limits per person or team cap it. There are no per-seat licences.

    What does SPIRA cost?

Set-up costs a fixed price, plus ongoing model and operating costs based on usage. There are no per-seat licences. We clarify scope and fixed price in the free initial consultation.

The first step is a conversation

Which question should your company AI answer first? In the free initial consultation we clarify which systems SPIRA should know first. Scope and fixed price are settled afterwards.
